2. What data we collect

First name, last name, company, business email address, country, the products or services you are interested in and any comments you provide, the details shown on your business card or badge if you give it to us or let us scan it, the way your data was collected, your choice regarding email marketing, and the date, time and version of the information displayed to you.

3. Why we use your data and on what legal basis

  • To follow up on your visit and your enquiry: our legitimate interest in responding to your enquiry and developing business relationships (Article 6(1)(f) GDPR) or, where you request a quotation, steps taken at your request prior to entering into a contract (Article 6(1)(b) GDPR). Following up on your specific enquiry is not marketing.
  • To send you information about our products and services by email: on the basis indicated to you when your data is collected at the event, namely your consent (Article 6(1)(a) GDPR), given by ticking the box on our lead capture device or by giving us your business card or letting us scan your badge after reading the information displayed at our stand, or, where permitted by applicable law, our legitimate interest (Article 6(1)(f) GDPR), with the right to object at any time. If you do not give your consent, we will not send you marketing emails; we will only follow up on your enquiry.
  • To demonstrate that we obtained your consent: our legal obligation and legitimate interest in being able to evidence our compliance (Articles 5(2), 6(1)(c), 6(1)(f) and 7(1) GDPR).

Contacts located in Germany: where your consent is required and your company is located in Germany, we send you an email asking you to confirm your consent before sending you any marketing email. Without your confirmation, we will not send you any marketing emails.

4. Who receives your data

  • Milexia Group SAS and its subsidiary serving your country, among those listed in section 1.
  • Service providers acting on our behalf (lead capture provider, CRM, emailing platform), under contracts complying with Article 28 GDPR.

5. Transfers

The section “Data transfers” of our Privacy Policy applies.

6. How long we keep your data

  • Contact and enquiry data: for up to 3 years from collection or from your last contact with us (for example, a request for information or a click on a link in one of our emails; merely opening an email does not count).
  • Evidence of your consent: for the applicable limitation periods.
  • If you object or withdraw your consent: we stop sending you marketing emails at once and keep only the minimum data necessary, in a suppression list, to respect your choice.
  • If you have had no interaction with us for a prolonged period (for example, an order, a quotation request, an exchange with our sales team or a click in one of our emails), we may ask you to confirm that you still wish to receive our emails; without your confirmation, we will stop sending them.
  • If you have left your company or your details have changed, we update or delete your data.
  • If you become a customer: the retention rules set out in our Privacy Policy apply.

At the end of these periods, your data is deleted or anonymised.

7. Your rights

You may access, rectify or erase your data, restrict its processing and request portability, in the cases provided for by the GDPR. You may also object, on grounds relating to your particular situation, to processing based on our legitimate interests.

You may withdraw your consent at any time, free of charge, via the unsubscribe link included in each of our emails or by writing to privacy@milexia.com. Withdrawal does not affect the lawfulness of processing carried out before it.

Your right to object to direct marketing

You may object at any time, free of charge and without having to give reasons, to the use of your personal data for direct marketing purposes. To do so, use the unsubscribe link included in each of our marketing emails or write to privacy@milexia.com. Your objection will be taken into account without delay.

To exercise your rights, you can contact Milexia’s data protection team at privacy@milexia.com. We may ask you for proof of identity only where we have reasonable doubts about your identity.

You also have the right to lodge a complaint with a supervisory authority, in particular the French Commission Nationale de l’Informatique et des Libertés (CNIL, www.cnil.fr) or the authority of the country where you live or work.
